About the Role

This role is responsible for processing and confirming all reservations for Sisters Traveling Solo - Group Trips, enabling a successful trip for our Trip Captains and customers. This role will also contribute to ongoing process improvements and operational trip improvements, as well as providing administrative support for back-end functions, with a focus on wellness tour operations.

From seeing photos of Sisters doing the things you have always wanted to do, to reading a post about someone who once was afraid to travel solo overcoming their fear while in Rome, to just getting words of encouragement from Sisters you have never met.

WE CONNECT SISTERS - through our group trips around the World and our meetups throughout the USA. We create opportunities for Sisters whom once were strangers to become inseparable travel buddies and life long friends.

WE EMPOWER SISTERS - by giving them the tools need to travel the World. Any member who is eligible to obtain a U.S. passport but are unable to obtain one due to financial hardship can sign up for our passport giveaway. Having an opportunity to get one for free, 100% funded by Sisters Traveling Solo. (passport giveaway now closed)

WE SUPPORT SISTERS - by traveling responsibly. In 2017 we introduced our Cultural Experiences where we work with and give our dollars to local women. And in 2018 we introduced our Sisters Travel Magazine a platform that will allow our Sisters who blog access to a greater audience.

Role Description

Monitor reservations email account as requested.

Sending reservations, rooming list, and customer notifications based on Sisters Traveling Solo required timelines.

Validations of all trips – ensuring that our tours are running on budget and appropriate services are booked and confirmed

Review trip budgets and adjust as needed and consult with appropriate stakeholders in the build out of new budgets.

Ensure accuracy of supplier invoices and coordinate with accounting team for processing.

Organize the accommodation company standards and requirements

Make sure that hotel/operators confirm every component of each itinerary.

Send required documentation to the Trip Captain running the trip in advance with services confirmed.

Ensure prompt response to Trip Captains’, customer service staff, and provider’s enquiries, including late and urgent request.

Coordinate with the suppliers regarding last minutes changes and keep the Trip Captain’s and providers informed.

Provide operational support to other company operations team members, including but not limited to building reports.

Research and contact suppliers to book, confirm or provide information regarding tours reservations.

Administer all aspects of a trip’s required reservations, modifications, and cancellations in a timely and efficient manner. Ensure accuracy of trip budgets

Communicate all significant trip details to vendors, Trip Captains, and other relevant individuals in preparation for a trip.

Respond to trip enquiries from customers.

Coordinate and assist in ground support for logistical issues during trips and on trip emergencies.

General Trip Captain (tour leader) support, including working with the Trip Captain as the trip is taking place.

Address Trip Captain and customer issues that arise, work with our company CEO to solve operations-related issues.

Assist with on-going operational and process improvements and efficiency gains.

Develop a thorough understanding of and capability in all Operations administrative roles and tasks in order to provide holidays/sick cover.

Contribute to special projects, such as developing manuals and other resources.

Assist with training and onboarding of new staff as required. Conduct employee performance reviews in a timely manner.

Contribute to the company performance and culture by embracing the Sisters Traveling Solo (STS) Core Values and promoting a positive working environment, and act as a STS advocate with all external partners.

Carry the Operations Emergency Phone on a rotational basis.

Other duties as assigned to support the successful functioning of the wider Operations team, and as required by our company CEO.

Actively contribute to the growth of the business

Follow company's policies and procedures.

Attend staff meetings.

Follow trends in the marketplace related to travel and health and wellness industry and bring forth new ideas and strategies.

Follow changes in government rules and regulations related to labor issues, safety requirements, and environment issues.

Make sure that our company’s services meet or exceed clients’ or customers’ expectation.

Must make sure that their company’s operations run smoothly and effectively.


Ability to work out of our Atlanta, GA office during specified hours required. No relocation assistance provided. If you are out of the State, we assume you are applying for this Atlanta based role because you are willing to relocate at your own expense.

Background in planning for a company or organization required.

Must have leadership, managerial, and interpersonal skills.

Must have experience planning trips or major events.

Customer service background preferred.

Basic understanding of social media platforms.

Wellness (Fitness, Culinary, Therapy) background preferred.

At least two years’ experience in a Management role or higher with a travel company, or a company within the tourism industry required. Or, three years’ working for a company in a role that mainly involved planning for large groups is required.

Desire to learn customs, cultures, and general understanding of the destinations we visit.

Superior attention to detail and accuracy.

Advanced organizational, time management and problem-solving skills.

Computer-literate; a quick learner of new software and systems

Previous management experience with demonstrated ability to manage a team under pressure and monitor product execution, team activities and procedures is required

Research skills and analysis experience advantageous.

Positive attitude and the desire to be part of a close-knit and effective team.

Exceptional English written and oral communication.

Ability to adapt to an environment that is subject to constant change.

Ability to be flexible as the company grows and process change.

Solid knowledge of the travel industry and geography of the region.

An understanding of and commitment to customer service.

Demonstrated commercial and advanced analytical skills.

Strong communicator, both written and verbal.

Collaborative nature with the ability to interact with a variety of staff from all levels.

Excellent knowledge of MS Office products, specifically Excel & PPT


Bachelor’s degree in management, business, finance, marketing or another relevant field.

A master’s degree, especially an MBA, is a plus

Role Type

Part Time. We cannot guarantee this role will elevate to full-time; however, we will continue to monitor our needs as our customers start to travel again.


Office located in Atlanta, GA (Buckhead Area). You must be able to come into the office.

In Office Schedule:

Monday - Friday; 9 AM EST - 3:30 PM EST (30 min. lunch)

Hours per week: 32 max

Pay Range

$22 - $30/hour - non negotiable (8-hours week); paid on a bi-weekly basis

Bonus* (*if all sales goals are met).

Expected start date February 15, 2023
